Key takeaway
An output-lot row cannot explain its inputs unless the transformation links survive. Keep required traceability work and optional licensing preparation as separate scopes.
Start at the output and work backward
Ask an internal reviewer to choose an output lot and identify the relevant inputs, their quantities and the transformation record. If the spreadsheet retains only the final lot, it may explain what left the process without explaining what contributed to it. For a proposed evaluation, define whether lot lineage is actually required before adding fields or preparing a large export.
FDA’s transformation illustration links input-lot information with a new lot; GS1’s guideline describes input/output transformation relationships. The map below is an original simplified illustration, not a compliance template. Food type, activity and exemptions control the applicable US requirements. No actual food operation or receiving program has been assessed.
A batch with an explicit reconciliation gap
This hypothetical process combines 60 kg from input lot A and 40 kg from input lot B in transformation T1. The recorded output is 96 kg in lot C. The illustration assumes the records are being reviewed as a transformation; it does not decide whether a real food or business falls within the rule.
Inputs total 100 kg. Recorded output is 96 kg, leaving 4 kg unreconciled. That difference could require a separate loss, hold or measurement investigation in the real process. Do not invent a “waste” record just to balance the table. The example shows what the evidence does and does not establish, without diagnosing production quality or a food-safety condition.
| Record | Illustrative quantity and link | Review result |
|---|---|---|
| Input A | 60 kg; lot A with its assigning-party reference; T1 | Input contribution recorded |
| Input B | 40 kg; lot B with its assigning-party reference; T1 | Second input contribution recorded |
| Transformation | T1; source record and completion date held internally | Connects inputs with output C |
| Output C | 96 kg; new lot C; T1 | Recorded output quantity |
| Reconciliation | 100 kg input minus 96 kg output = 4 kg | Gap retained; disposition not invented |
A lot code needs its source context
Use an internal identity rule that distinguishes a lot from similarly named lots created by another party. A naked value such as “A” is not a reliable universal join key. Preserve the relevant assigning-source reference and local product context when linking records. If external preparation replaces those references with aliases, confirm that separate lots remain separate throughout the approved package.
Test the map in both directions. From C, the reviewer should reach A and B through T1. From A, the reviewer should reach each output the retained transformation evidence supports. If a long-running production record has only approximate input/output associations, label that scope. Do not advertise precise contribution proportions merely because all inputs appear somewhere in the same date range.
The US timing note, checked 7 October 2026
FDA’s current page distinguishes an original January 20, 2026 compliance date, a proposed extension to July 20, 2028 and a congressional enforcement direction. The enacted Public Law 119–37, Division B, § 780 restricts use of funds appropriated by that Act to administer or enforce the rule before July 20, 2028. A proposal and an enforcement restriction are different legal instruments.
This dated note does not assert that the proposed amendment has become final or clear a particular operation. The same FDA page still contains legacy date text. The company’s qualified reviewer should check the current applicable rule, its food/activity coverage and exemptions, as well as any separate contractual obligations. The technical lineage review need not wait for a speculative license opportunity.
Do not trade away the source traceability system
Maintain the internal recordkeeping purpose and controls separately from an optional external derivative. An approved high-level description can state retained periods, input/output links, quantity units and known reconciliation gaps without exposing the full supplier network or a proprietary formula. Removing company names from those records does not automatically resolve commercial confidentiality.
For the example, an initial description could say “two input lots linked to one output through a retained transformation reference; one quantity gap pending review.” It should not attach raw ingredient details or supplier documents. A later sample must specify which lineage fields are necessary, who receives them and what use is permitted. A license is another decision; technical usability does not establish those rights.
Assign the unresolved item before counting preparation value
The next internal task for T1 is to explain or retain the 4 kg gap, confirm lot identity and document the review cutoff. Assign the process owner to reconcile quantities and the compliance owner to assess the separate rule scope. Use the inventory tool to describe the record category and the readiness tool to track open questions.
Keep mandatory or internally justified traceability work out of a claimed incremental licensing return. If the company would perform it anyway, an optional external project should account for only its additional work. There is no offer, price per lot or demonstrated buyer demand in this illustration. Its value is a clearer decision about whether the retained relationships answer the proposed question.
