Key takeaway

Keep the attribution record with each reused asset. A license label alone loses the supplied notices and changes that a receiving reader may need.

A copied file can lose the permission record around it

A team includes a useful reference image in an evaluation package. The filename survives, but the creator’s notice, source reference and earlier crop description do not. Writing CC BY in a folder name is a poor substitute for knowing which work was offered under which license and what information accompanied it.

The CC BY 4.0 legal code conditions sharing on retaining specified supplied attribution information, indicating modifications and identifying the license. It allows reasonable attribution methods for the medium and context. The accompanying Creative Commons FAQ explains these practical requirements and the importance of recording changes. This guide concerns that specific license version, not every CC mark or every possible use of an image.

A finished release decision for a fictional image

Hypothetical example: a company wants to share a cropped reference photograph labelled R17 with an external evaluator. The source record identifies Fictional Field Studio, a supplied copyright notice and an original source-page reference. The earlier version had already been colour-adjusted; the company then crops it. All material and names in this example are invented. Assume the external release is Share as defined in section 1 of CC BY 4.0, exercises the Licensed Rights and is not otherwise covered by an exception or limitation.

The proposed release record keeps those facts together. The initial export omitted the original reference and the earlier adjustment, so the decision is to repair the credit trail before sharing. This is a completed hold-and-repair example, rather than an assertion that a real photograph is available under CC BY.

Make the credit usable in the receiving format

The legal code permits a reasonable manner of attribution based on medium, means and context, including a link to a resource containing required information. A compact package may therefore point to a durable credit manifest, provided the actual arrangement satisfies the applicable conditions. A filename that only the sender understands is not a meaningful receiving-party reference.

For R17, a repaired credit entry would identify the fictional creator and work reference, preserve the supplied notices, identify CC BY 4.0 with the actual license URI, and say that the image had previously been colour-adjusted and was then cropped for the package. The original source-page reference belongs with that entry. The example does not prescribe one universally sufficient credit sentence.

Retain the unmodified source record privately when appropriate, and bind the credit entry to the actual released file. That helps distinguish a later replacement image from the earlier licensed item. It does not turn a private evidence copy into permission to share unrelated material.

Do not convert credit into endorsement or exclusivity

CC BY 4.0 does not grant permission to imply the creator’s sponsorship or endorsement. Its scope also distinguishes copyright and similar rights from other rights, including trademark and privacy-related rights. A correct credit line is not a general clearance for everything depicted in a photograph.

The company must also avoid offering an exclusive right it does not hold over the reference asset. The legal code describes downstream offers from the licensor and prohibits additional restrictions that restrict exercise of the licensed rights. Keep any separately owned company material and separate contractual promises accurately described.

Check the actual asset page and supplied license rather than relying on a search-result filter. A copied CC badge cannot prove the uploader had authority. If the source identity, version or rights are unresolved, record the unresolved item instead of replacing it with a confident blanket permission statement.

Use one asset-level output, not a folder-level assurance

The useful deliverable is a small credit manifest that maps each shared file to its source evidence, license/version, supplied notices, changes and release decision. The R17 example starts on hold and reaches a documented repair requirement; it does not label the whole archive rights-cleared.

Use inventory to keep asset and derivative identities connected and rights review for the proposed sharing scope. Where copyright exceptions or other legal permissions are relevant, their analysis remains separate. A VOID introduction does not check or satisfy a company’s CC attribution obligations. Resolve the actual shared asset’s trail before making the package promise.
