The starting point
Professional-services firms can begin with original internal methods, project handoffs or documented approvals. Separate the firm’s reusable process knowledge from client deliverables and supplied material. The useful first question is whether the proposed scope explains a decision without depending on confidential client content.
Build a useful inventory.
Describe categories and connections. Keep actual records in your own systems during the initial fit review.
| Illustrative category | Describe without exporting | First question |
|---|---|---|
| Original methods | Procedure family; versions; authorship | Which components came from clients or contractors? |
| Project handoffs | Scope-change categories; decision and acceptance links | Is internal approval distinct from client acceptance? |
| Time and expense approvals | Approval, recall and correction coverage | Does the archive preserve reversals? |

Do not turn billed effort into an outcome label.
Microsoft’s Project Operations documentation separates submitted entries, approval records and resulting project transactions. It also describes cancellation and recalls that reverse prior transactions. These distinctions help an owner explain an approval history. They do not establish that a client accepted the work, that a project succeeded or that recorded hours measure expertise. Find the actual decision or acceptance evidence for the proposed question.
Review components, rather than one shared folder.
A playbook may combine the firm’s method, a contractor’s diagram and a client-specific example. List those components and locate the relevant authority before proposing reuse. Keep client identities, confidential deliverables, personnel assessments and material requiring privilege review out of the first description. An internal template may be a better initial scope when the outcome story cannot be separated from restricted content.
Make scope selection the first useful result.
Prepare categories, version coverage, approximate volume and unresolved authorship or agreement questions. VOID’s initial metadata fit review has no upfront seller referral fee. Any conditional compensation from a receiving program is disclosed before the firm approves the named recipient and exact introduction details. A sample, document-access grant or license remains a separate decision; the introduction does not clear client material.
Hypothetical screening example
Illustration: narrow to an original review method.
A fictional consultancy retains project files, timesheets and an internally authored review procedure. Client acceptance messages are incomplete, and several deliverables contain supplied client material. The partner describes the original procedure and its versions, keeps client files outside the scope and does not label approved hours as successful projects.
Next decision. Narrow to original process documentation; hold outcome claims and client-dependent deliverables.
Questions before the next step.
Does paying a contractor mean the firm can license their contribution?
Locate the actual agreement and review the proposed use. Payment and possession of a file do not settle the required authority.
Can we start when client records need further review?
Describe a bounded original category and the exclusions. Keep the unresolved client material outside any proposed disclosure.

Approval can create project actuals; cancellation or approved recall can reverse those transactions. Approval is a workflow event, not proof of client acceptance.
