Separate three kinds of value.

Replacement cost asks what it would take to recreate comparable material. Internal utility asks what it can improve inside your own business. External license value asks what a particular buyer will pay for specified rights. A costly archive can still have no current external buyer, and an inexpensive record can answer an important buyer question.

Evaluate the package that could actually be licensed.

The relevant package may be much smaller than the original archive. Exclusions for confidentiality, personal information or third-party rights can change the available scope. Estimate value after these boundaries are understood, rather than assuming the entire system is marketable.

Quality also means fitness for a purpose. Fresh records may help one task; older histories may help another. There is no universal daily depreciation curve for operational data.

Look at terms alongside the number.

A headline price can conceal a broad permanent grant, exclusivity, expensive refresh obligations or a payment that depends on acceptance. Compare the cash you can actually receive with the rights and work you must provide.

  • Specified uses: training, evaluation, retrieval or onward licensing
  • Scope, duration, territory and permitted recipients
  • Exclusivity and restrictions on your own future use
  • Acceptance criteria, deductions and payment timing
  • Refresh, support, security and deletion obligations

Use scenarios instead of unsupported appraisals.

Build a no-deal case and one or more hypothetical offers. Enter preparation hours, review budgets and ongoing costs. Do not multiply employees or records by an invented market rate. Public program ranges are useful context, not comparable completed transactions.
